WOOOF Dog Grooming ("WOOOF", "we", "us") runs dog grooming salons in Canberra and Sydney. This policy explains what personal information we collect, how we use it, and the choices you have. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

  • Your details: name, mobile number, email address and the salon you use.
  • Your dog's details: name, breed, age or birthday, coat, grooming history, and any health, behaviour or handling notes you or our groomers record.
  • Bookings and payments: appointment history, services, prices and payment records. Card payments go through our payment providers; we do not store your full card number.
  • Photos: before-and-after photos of your dog taken during grooming.
  • Messages: emails, SMS and survey responses you send us.
  • Website use: pages visited, device and browser type, and approximate location (city level), collected through the analytics described below.

How we use it

We use your information to:

  • take and manage bookings, and send confirmations, reminders and follow-ups
  • groom your dog safely, using the notes and history on file
  • take payments and keep financial records
  • reply to enquiries, feedback and surveys
  • improve our services and website
  • send marketing and promotions (see Marketing below).

Who we share it with

We do not sell your personal information. We share it only with service providers who help us run the business, and only so far as they need it to do that work:

  • our cloud-hosted salon management system and its hosting providers
  • SMS and email delivery services (Twilio and Resend)
  • payment providers (Stripe, and in-salon EFTPOS providers)
  • our accounting software (Xero)
  • Google Workspace, for email
  • error-monitoring software (Sentry), which records technical details when something goes wrong
  • AI tools that help us summarise and respond to client messages.

We may also disclose information when the law requires it, or with your consent.

Some of these providers store or process information outside Australia, including in the United States and Singapore. We choose providers with strong security and privacy practices.

Our website, analytics and cookies

Our website uses Google Analytics to understand how visitors use the site, for example which pages are popular and how people find us. Google Analytics sets cookies and collects usage information such as pages visited, device type and approximate location. We do not use it to identify you personally. Google's own practices are explained at policies.google.com/privacy.

You can opt out:

  • Global Privacy Control: if your browser sends a Global Privacy Control signal, our website does not load Google Analytics at all.
  • Browser add-on: Google provides an opt-out add-on at tools.google.com/dlpage/gaoptout.
  • Cookie settings: you can block or delete cookies in your browser settings.

Some pages also load content from other services, which may set their own cookies under their own privacy policies:

  • Google reviews, shown through Elfsight
  • YouTube videos
  • Instagram photos
  • Cloudflare Turnstile, which protects our forms from spam.

Marketing

From time to time we may send you marketing material and promotions. You can opt out at any time by replying STOP to an SMS, using the unsubscribe link in an email, or contacting us at hello@wooof.com.au.

Third-party appointment inquiries

To respect the privacy of all our clients, WOOOF Dog Grooming handles appointment information with care. By making a booking with us, you consent to limited appointment-related information (such as booking date and time) being disclosed to designated individuals, such as household members, who may inquire on your behalf. If you prefer that appointment details be restricted to you only, please inform us at the time of booking. We may verify the identity of individuals making inquiries to protect your privacy.

Photos of your dog

We take photos during grooming for your dog's record and to show you the result. We only post photos on our website or social media where you have agreed to it. Tell us at any time if you would rather we did not.

Storage and security

We store your information in our secure, cloud-hosted salon management system. Access is limited to staff who need it, and we use encryption in transit, access controls and monitoring to protect it.

Access, correction and deletion

You can ask to see the information we hold about you, or ask us to correct it, by contacting hello@wooof.com.au. If you want us to delete your information from our system for any reason, we will do so. We may keep records we are legally required to keep, such as financial and tax records, for the period the law requires.

Children

Our services are booked by adults. We do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, contact us and we will delete it.

Complaints

If you have a concern about how we have handled your personal information, please contact us first at hello@wooof.com.au and we will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We review this policy at least once a year and update it when our practices change. The date at the top shows when it was last updated.
